Duties:

The Office Assistant (Undergraduate Programs) is a front-line position that provides admission-related assistance, by phone, email and in person to students entering the Faculty of Education. Duties of the Office Assistant (Undergraduate Programs) include: supporting Faculty programs with timetabling, program changes, registrations; processing online applications and maintaining electronic files for all undergraduate Education program admissions in to the various programs, preparing programs for distribution to incoming students; maintaining program files for over 200 undergraduate students; notifying students of full, cancelled or changed course offerings; and providing information regarding program requirements to prospective students. This position also promotes the undergraduate programs by organizing information sessions, attending open house/career fairs as the Education representative and promoting current events and student achievements through social media. Other duties include scheduling and organizing classroom bookings, scheduling ZOOM bookings, maintaining accurate records and taking minutes when required along with other related duties as assigned.

Required Qualifications and Experience:

Must have a minimum Grade 12 plus a one (1) year office administration certificate and three (3) years’ experience in an educational environment or a comparable combination of education and experience is required, along with a basic understanding of university programs and degree requirements. The successful candidate must have excellent interpersonal skills and a significant amount of successful experience working as a front-line individual in a busy office. The candidate must also be flexible in carrying out tasks and able to manage multiple tasks with frequent interruptions. Working well unsupervised is important, as is working as part of the office team.

*NOTE* This is a full-time term position to August 31, 2023, or such earlier date that the regular employee returns to work. This position is subject to a Criminal Records Check and Child Abuse Registry Check.
