Duties:

Reporting to the Dean, the Office Manager will be accountable for providing confidential support to the Office of the Dean in a wide range of activities. They will ensure the effective operation of their office by directing and maintaining the flow of work, triaging situations, coordinating schedules and facilitating written and verbal communication with a broad range of stakeholders.

The Office Manager leads a team of four administrative assistants within the School's portfolios and must be able to work effectively with a multitude of internal and external stakeholders with varying interests. This position will work closely with Chairs and Program Managers and will assist with program planning, budgeting, human resources, leading and supporting projects, issues management, tracking government submissions and supporting meetings.

The Office Manager works in a complex and rapidly changing work environment and as such must have a solid understanding of the operations of the Schools and College overall. This position must be able to manage shifting priorities with relative independence, knowing when to consult with the Dean.

Required Qualifications:

  • Post-secondary education in management, creative communications, office administration or related discipline; an equivalent combination of education and experience may be considered
  • Experience at a senior administrative level, in a management or professional office
  • Experience managing a small group of employees as a self-aware, empathetic and adaptable leader
  • Demonstrated ability in developing and maintaining relationships with internal and external stakeholders based on trust, respect and appreciation for others' needs and perspectives
  • Experience in review and management of office budget, identifying and resolving discrepancies
  • Excellent written communication skills including the ability to compile, draft and/or edit documents that range in complexity
  • Strong verbal communication skills including ability to persuade and negotiate with a variety of stakeholders
  • Advanced calendar management skills, with experience organizing and recording the proceedings of multi-stakeholder meetings
  • Experience managing logistics of meetings and events
  • Experience working effectively within a complex environment
  • Experience conducting research projects of varying complexity
  • Experience coordinating travel arrangements for leadership and complex group travel
  • Demonstrated ability to take initiative and to work both as a team player and with independence
  • Advanced skills and experience in MS Office, including Word, Excel, PowerPoint, Visio, and Outlook

Salary: $51,954 - $71,132 per annum (Effective June 20, 2020 salary will change to $52,465 - $71,851 per annum)
