{"id":1381,"date":"2013-02-27T09:24:49","date_gmt":"2013-02-27T15:24:49","guid":{"rendered":"http:\/\/mancini.brandonu.ca\/hr\/?page_id=1381"},"modified":"2013-04-03T09:02:41","modified_gmt":"2013-04-03T14:02:41","slug":"instructions-online","status":"publish","type":"page","link":"https:\/\/www.brandonu.ca\/hr\/administrators-tools\/instructions-online\/","title":{"rendered":"Instructions for the Online Component"},"content":{"rendered":"<aside class='post-1381 float'>\n<p><a href=\"https:\/\/www.brandonu.ca\/hr\/files\/JobEvaluationOnline.pdf\">Download PDF version of this page<\/a><\/p>\n<p> If you are unable to open PDF <img loading=\"lazy\" decoding=\"async\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/wp-content\/themes\/brandonu\/images\/icon_pdf.png\" width=\"24\" height=\"13\" \/> files, you will need to install the free <a href=\"http:\/\/get.adobe.com\/reader\/\">Adobe Reader<\/a>.<\/p>\n<\/aside>\n\n<aside class='post-1381 float'>\n<ul>\n<li><a href=\"#create\">Create a username and password<\/a><\/li>\n<li><a href=\"#login\">Logging in to the system<\/a><\/li>\n<li><a href=\"#fill\">Filling in the online Job Description Questionnaire<\/a><\/li>\n<li><a href=\"#print\">Printing your Job Description<\/a><\/li>\n<li><a href=\"#logout\">Logging out of the system<\/a><\/li>\n<\/ul>\n<\/aside>\n\n<h2><a name=\"create\"><\/a>Creating a Username and Password<\/h2>\n<h3>Why do I need to create a username and password?<\/h3>\n<p>In order to be able to use the online job evaluation system, you must have a username and a password for the system. <strong>This username and password pair is unique to the job evaluation system.<\/strong> What this means is that your normal username and password do not confer the ability to use the job evaluation system.<\/p>\n<h3>Okay, so how do I create a username and password?<\/h3>\n<p>On the login page, you will note the following text<\/p>\n<img decoding=\"async\" title=\"img1\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img1.png\" \/>\n<p>Clicking on the highlighted link will take you to the Signup page, where you will see the following:<\/p>\n<img decoding=\"async\" title=\"img2\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img2.png\" \/>\n<ul>\n<li>In the <strong>Email address<\/strong> field, enter a valid email address. This may be used in the future to communicate any necessary changes to the job evaluation system to you.<\/li>\n<li>In the two <strong>Password<\/strong> fields, enter the password that you will be using for the system. The second field is there to ensure that the password is not mistyped.<br \/>\n<em>A note on passwords<\/em>: Please ensure that the password you use for this system is unique. Do not use your Novell password or your email password for this system.<\/li>\n<\/ul>\n<p>Clicking the <strong>Create Username<\/strong> button will create a username for you.<\/p>\n<p>Please note that if you try to create a username which already exists, you will receive an error message that looks like this:<\/p>\n<p><img decoding=\"async\" title=\"img3\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img3.png\" \/><br \/>\nIf this happens, chances are you already have a username.<\/p>\n<p style=\"text-align: right\"><a href=\"#create\">top of page<\/a><\/p>\n<hr \/>\n<h2><a name=\"login\"><\/a>Logging In<\/h2>\n<div id=\"post-246\">\n<div>\n<p>When attempting to go to the Job Description Questionnaire, you will sometimes encounter the following text:<\/p>\n<img decoding=\"async\" title=\"img4\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img4.png\" \/>\n<p>This is caused by one of two things:<\/p>\n<ul>\n<li>You have not yet logged in to edit your job description.<\/li>\n<li>You have not performed any editing on your job description in some time (about 15 minutes).<\/li>\n<\/ul>\n<p>Clicking on the Log in will take you to the login page<\/p>\n<img decoding=\"async\" title=\"img5\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img5.png\" \/>\n<p>This is where you would log in. Enter the username you created (this should be an email address) and the password associated with it, and click <strong>Login Now<\/strong>.<\/p>\n<p>Logging in successfully will take you to a page that looks like this:<\/p>\n<img decoding=\"async\" title=\"img6\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img6.png\" \/>\n<p>To fill in or edit your job description questionnaire, you would click on Edit your job description questionnaire. This will take you to the actual job description questionnaire, which is explained in the <a href=\"https:\/\/www.brandonu.ca\/hr\/job-eval\/questionnaire\/\">Filling in the Online Job Questionnaire<\/a> section of this document.<\/p>\n<p style=\"text-align: right\"><a href=\"#create\">top of page<\/a><\/p>\n<hr \/>\n<h2><a name=\"flll\"><\/a>Filling in the online Job Description Questionnaire<\/h2>\n<p>The Job Description Questionnaire page looks in part like this:<\/p>\n<p><img decoding=\"async\" title=\"img7\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img7.png\" \/>Note that there is a <strong>Save Information<\/strong> button at the end of each of the sections. This button will save your information to a database so that you can leave your work in progress, log out, and come back later to complete it.<\/p>\n<img decoding=\"async\" title=\"img8\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img8.png\" \/>\n<p>Additionally, there is a Help link at each section. Clicking on the Help link will bring you to this section of the help document.<\/p>\n<h2>Field sizes<\/h2>\n<p>The following fields are restricted as to how much text is allowed in them:<\/p>\n<ul>\n<li>Job Summary (I)<\/li>\n<li>Accountability (V)\n<ul>\n<li>Quantitative data (1)<\/li>\n<li>Documented procedures (2)<\/li>\n<li>Review details (3)<\/li>\n<\/ul>\n<\/li>\n<li>Supervisor\u2019s Comments (IX)<\/li>\n<\/ul>\n<p>No more than <strong>500 characters<\/strong> are allowed in any of these fields. This number of characters will be sufficient for one or two sentences of 10-20 words, as described in the Job Evaluation sessions that were held. If you attempt to enter more than 500 characters, you will receive an error message upon saving. To re-edit the field, click the <strong>Back <\/strong>button on your browser.<\/p>\n<p>In addition, the Duty (II) fields will hold a maximum of 255 characters. This will be sufficient for entering your duty information in point form, as described in the Job Evaluation sessions.<\/p>\n<h2>Emailing to your supervisor<\/h2>\n<p>When you click on the <strong>Save Information<\/strong> button, you will be taken to a page which will allow you to print your job description (see the <strong>Printing<\/strong> section for details) or email it to your supervisor for review.<\/p>\n<img decoding=\"async\" title=\"img9\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img9.png\" \/>\n<p>Simply enter your supervisor\u2019s email address in the field provided and click on the <strong>Email To Supervisor<\/strong> button. Your supervisor will receive the contents of your job description. He or she will then recommend any changes for you to make. He or she will also send his or her comments, which you will then be able to copy and paste into the <strong>Supervisor\u2019s Comments<\/strong> field.<\/p>\n<p style=\"text-align: right\"><a href=\"#create\">top of page<\/a><\/p>\n<hr \/>\n<h2><a name=\"print\"><\/a>Printing your job description<\/h2>\n<div id=\"post-268\">\n<div>\n<img decoding=\"async\" title=\"img10\" alt=\"\" src=\"https:\/\/www.brandonu.ca\/hr\/files\/img10.png\" \/>\n<p>You will notice the following text on the pages immediately after a successful login or save of your job description:<\/p>\n<h2>What it means<\/h2>\n<p>Microsoft\u2019s Internet Explorer version 5 and up takes advantage of a feature of Web technology which allows a person to define page breaks in a printed Web document. No other browsers that I have tested, including Netscape Navigator 6, allow this to function. It is therefore recommended that you use Internet Explorer 5 or higher. If you are using Windows 98 on your computer, you should have Internet Explorer 5 installed.<\/p>\n<p>Using Internet Explorer 5, you should be able to go to the first link in the list and print it. This should render the page breaks in the right places.<\/p>\n<p>If you prefer to use a different browser, I cannot guarantee where the page breaks will fall. If the page breaks are not in the correct places, HR will return the document. Thus, I have set up four individual pages which should print the document with the page breaks correctly. You will have to click on each individual link, print the page that comes up, then click the <strong>Back<\/strong> button on your browser and proceed to the next page.<\/p>\n<p>Please note that if you are using a custom stylesheet, your page breaks may not fall correctly. If you don\u2019t understand what the preceding sentence means, the odds are very good that it does not apply to your situation.<\/p>\n<p style=\"text-align: right\"><a href=\"#create\">top of page<\/a><\/p>\n<hr \/>\n<h2><a name=\"logout\"><\/a>Logging Out<\/h2>\n<\/div>\n<\/div>\n<div id=\"post-282\">\n<div>\n<div><em>[Nonfunctional sample]<\/em><\/div>\n<div><\/div>\n<div>Log out of the BU Job Evaluation system<\/div>\n<p>In order to log out of the system, and thus prevent others who may use your computer from viewing or modifying your job description questionnaire, click the Log out of the BU Job Evaluation system link.
