About the Role

Reporting to the Executive Assistant, the Administrative Assistant provides professional administrative and operational support to assigned programs and departments across Marymound.

As an integral member of our administrative team, you will help ensure the organization operates efficiently by coordinating meetings, preparing documents, maintaining records, supporting office operations, and providing exceptional service to employees, children, youth, families, visitors, and community partners.

This position requires sound judgment, exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining confidentiality and professionalism.

Key Responsibilities

• Provide professional administrative support to the Executive Assistant and assigned leaders.
• Coordinate meetings, calendars, appointments, and organizational events.
• Prepare, format, edit, and proofread correspondence, reports, presentations, agendas, and meeting materials.
• Maintain accurate electronic and paper records in accordance with organizational standards.
• Serve as a welcoming and professional first point of contact for employees, children, youth, families, visitors, and community partners.
• Coordinate office supplies, meeting logistics, travel arrangements, and other administrative functions.
• Exercise sound judgment and discretion while handling confidential organizational information.
• Contribute to a respectful, collaborative, and culturally safe workplace.

What You'll Bring:

• A diploma or certificate in Office Administration, Business Administration, or a related field, or an equivalent combination of education and experience.
• A minimum of two (2) years of progressively responsible administrative experience.
• Advanced proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
• Excellent organizational, communication, and time management skills.
• Exceptional attention to detail and accuracy.
• The ability to manage multiple priorities while working independently.
• Strong interpersonal and customer service skills.
• Sound judgment, professionalism, and the ability to maintain confidentiality.
• A commitment to respectful relationships and culturally safe service delivery.
