2026 – Executive Assistant, Administration and Finance – Full-time Regular

Duties and Responsibilities

The Executive Assistant to the Vice-President (Administration & Finance) (VP A&F) provides high-level, confidential administrative support and serves as a liaison between the VP’s office and internal and external stakeholders. The Executive Assistant is responsible for coordinating the schedule of the VP (A&F), arranging meetings and appointments, preparing relevant meeting materials, maintaining confidential files, responding to general inquiries, and managing contact listings. The role provides administrative support through the preparation of committee materials, organization of meeting facilities, coordination of catering services, editing and distribution of meeting minutes, assistance with reports and presentations, and maintenance of the office website. This position also supports compliance-related functions such as FIPPA requests, assisting with data collection, redacting information as directed, and preparing correspondence. General office duties are required, along with providing administrative support on key committees and other duties as assigned.

Qualifications

To be considered for this role, candidates must possess a one-year certificate in Office Administration or a similar program, along with a minimum of three years’ experience in a comparable position. A combination of relevant education and experience may also be considered. Experience within a post-secondary institution, the public sector, or a unionized environment is considered an asset. The ability to exercise discretion when accessing or handling confidential information is vital. Candidates must demonstrate strong interpersonal, organizational, and time management skills, and be able to work collaboratively with both internal and external stakeholders. Proficiency in office software is critical, and success in this role requires a high level of professionalism, attention to detail, and the ability to manage multiple tasks efficiently.

Salary: Excluded Support Staff III (ESS – III) position with a salary of $64,584.00 per annum.
