Supervisor Checklist for New Employee

The following are suggestions for both academic and administrative support positions and all suggestions may not be applicable.

Prior to start date

  • Ensure the employee has signed their employment contract and returned it to HR
  • Computer setup – Contact IT Services ext. 767
    • User name/id
    • Password(s)
    • Email setup
    • Ensure all relevant programs/software are on system
    • Printer connections
    • Telephone setup/Add new employee to BU Directory listing
  • Mailbox setup – Mail Services
  • Order business cards & name badge – Contact Purchasing ext. 706
  • Order office door sign & keys – Contact Physical Plant ext. 620
  • Complete paperwork with Human Resources (i.e. benefits, signing of contract, direct deposit, etc.)
  • Direct to Ancillary Services for parking pass
  • Order appropriate office and building keys – Physical Plant

Start date

  • Introduce to other area/department members
  • Tour of office (location of printers, copier, fax machine, incoming/outgoing mail, etc.)
  • Provide new employee with:
    • Keys and FOB (electronic key) to access office and building
    • Their contact info (phone #, fax #, email address, etc.)
    • The link to the BU Telephone Directory and BU Community
    • Advise on the length of breaks (lunch; morning/afternoon breaks) and if there are set hours of work
    • BU Faculty Handbook (if applicable) from Financial & Registration Services
    • A “Welcome Package” of useful information from your area

First week in role

  • Send out a campus wide email introducing and welcoming new employee in your area.
  • Tour of campus; introduce to key contacts
  • Train new employee on how to:
    • complete any forms used on a regular basis
    • use fax machine, copier, printers, etc. (may seem basic but some machines are more complex than others)
    • navigate any programs/software unique to your area
  • Encourage new employee to explore the BU website – familiarize self with information
  • May want to highlight key areas relevant for their role (i.e. their Union’s collective agreement, employee benefits, institutional and department specific policies and procedures)
